Agreement Overview
These Enrolment Terms & Conditions (“Agreement”) outline the conditions of enrolment between CamLoc Education (“CamLoc”, “we”, “our”, or “the Centre”) and the parent(s)/guardian(s) (“Parents”) of the enrolled student (“Student”).
1. Enrolment and Class Placement
- 1.1All students may be required to complete an entry assessment or consultation prior to enrolment to determine appropriate class placement.
- 1.2CamLoc Education reserves the right to place, reassign, or transfer students between classes based on academic ability, learning needs, class availability, student progress, behaviour, or operational requirements.
- 1.3Enrolment is subject to availability and is not confirmed until payment has been received.
- 1.4CamLoc Education reserves the right to decline or cancel enrolment at its discretion where it determines that a program is not suitable for a student or where continued enrolment is not in the best interests of the class or Centre operations.
2. Fees and Payment Terms
- 2.1Tuition fees are charged on a term basis unless otherwise specified.
- 2.2All tuition fees must be paid in full prior to the commencement of each term unless a written payment arrangement has been approved by CamLoc Education.
- 2.3An annual administration and online platform fee may apply to cover access to online learning systems, digital resources, assessments, homework platforms, and educational materials.
- 2.4Fees are non-refundable once the term has commenced, except where required by law or approved at the discretion of CamLoc Education.
- 2.5Failure to pay fees by the due date may result in suspension of lessons, cancellation of enrolment, withholding of resources or reports, or forfeiture of the student’s class placement.
- 2.6CamLoc Education reserves the right to adjust fees periodically. Reasonable notice will be provided prior to any fee changes.
3. Attendance and Punctuality
- 3.1Students are expected to attend all scheduled lessons punctually and prepared for class.
- 3.2Consistent attendance is essential for academic progress and continuity of learning.
- 3.3Parents are responsible for ensuring students arrive on time and are collected promptly after lessons where applicable.
- 3.4CamLoc Education is not responsible for supervising students outside scheduled lesson times.
4. Missed Lessons and Lesson Credit Policy
- 4.1Tuition fees secure a student’s place in a class for the duration of the term and are not based solely on attendance.
- 4.2No refunds will be provided for missed lessons, family holidays, extracurricular commitments, school events, or non-attendance for personal reasons.
- 4.3Each student is entitled to a maximum of one (1) lesson credit per term for any student absence, regardless of reason.
- 4.4To be eligible for a lesson credit, CamLoc Education must be notified at least 24 hours prior to the scheduled lesson.
- 4.5In cases of illness or medical reasons, less than 24 hours’ notice may be accepted at the discretion of CamLoc Education.
- 4.6Lesson credits are subject to availability, may be used for an approved make-up lesson or future class credit, cannot be exchanged for cash, cannot be transferred between students, and cannot be accumulated across terms.
- 4.7Lessons missed without notice are not eligible for lesson credit.
- 4.8Where a teacher is unavailable due to illness or unforeseen circumstances, CamLoc Education may arrange a substitute teacher, provide an online lesson, schedule a make-up lesson, or provide a lesson credit.
- 4.9Any make-up lesson or lesson credit provided due to teacher absence is separate from, and additional to, the student’s allocated one (1) lesson credit per term under Clause 4.3.
5. Homework and Student Responsibilities
- 5.1Students are expected to complete homework and revision tasks, actively participate in lessons, bring required materials, and make a genuine effort to engage with the learning program.
- 5.2CamLoc Education may provide homework, assessments, extension work, or online tasks as part of its programs.
- 5.3Academic progress is dependent on multiple factors including attendance, effort, consistency, independent study, and parental support.
6. Online Learning Policy
- 6.1Where online lessons are conducted, students are responsible for ensuring they have a stable internet connection, a suitable learning device, and access to required software or platforms.
- 6.2Students must behave appropriately during online lessons and use educational platforms responsibly.
- 6.3Recording, reproducing, distributing, or sharing lessons, teaching materials, assessments, or online resources without written permission from CamLoc Education is strictly prohibited.
- 6.4Login credentials and access to online systems are for enrolled students only and must not be shared.
7. Code of Conduct
- 7.1Students are expected to behave respectfully towards teachers, staff, and fellow students.
- 7.2Disruptive, inappropriate, unsafe, or disrespectful behaviour may result in warnings, temporary suspension, removal from class, or termination of enrolment.
- 7.3CamLoc Education reserves the right to determine appropriate behavioural expectations and consequences.
8. Parent Communication and Conduct
- 8.1CamLoc Education values respectful and constructive communication between families and staff.
- 8.2Parents are expected to communicate respectfully with all staff members at all times.
- 8.3Aggressive, abusive, threatening, discriminatory, or inappropriate behaviour towards staff, students, or other families may result in immediate termination of enrolment.
- 8.4Parents are encouraged to raise concerns directly with CamLoc Education in a timely and professional manner.
9. Intellectual Property
- 9.1All CamLoc Education materials remain the intellectual property of CamLoc Education, including worksheets, booklets, assessments, videos, online resources, lesson content, teaching materials, and branded documents.
- 9.2Materials provided by CamLoc Education are for personal educational use only.
- 9.3Parents and students must not reproduce, upload, distribute, sell, share publicly, or commercially use CamLoc Education materials without prior written permission.
10. Photography and Media
- 10.1CamLoc Education may occasionally take photographs or videos of classes, student work, or learning activities for educational, promotional, or marketing purposes.
- 10.2These materials may be used in newsletters, social media, websites, brochures, or other promotional publications.
- 10.3Parents who do not wish for their child to appear in such materials must notify CamLoc Education in writing.
11. Withdrawal and Cancellation
- 11.1Parents wishing to withdraw a student from CamLoc Education must provide written notice via email.
- 11.2A minimum of thirty (30) days’ written notice is required prior to withdrawal.
- 11.3Tuition fees remain payable during the notice period.
- 11.4Failure to attend lessons during the notice period does not waive outstanding fees.
- 11.5No partial refunds or credits will be provided for unused lessons after withdrawal.
12. Suspension or Termination of Enrolment
- 12.1CamLoc Education reserves the right to suspend or terminate enrolment where fees remain unpaid, behavioural expectations are repeatedly breached, parents or students fail to comply with this Agreement, or continued enrolment is considered inappropriate by the Centre.
- 12.2Any decision regarding suspension or termination shall be at the discretion of CamLoc Education.
13. Limitation of Liability
- 13.1CamLoc Education provides educational support and enrichment programs but does not guarantee specific academic outcomes, examination results, scholarship offers, school placements, rankings, or admission outcomes.
- 13.2Student success depends on numerous factors including attendance, effort, independent study, and external educational influences.
- 13.3To the extent permitted by law, CamLoc Education shall not be liable for indirect or consequential loss, personal property damage, technical disruptions, or circumstances outside its reasonable control.
14. Privacy
- 14.1CamLoc Education respects the privacy of students and families.
- 14.2Personal information collected by CamLoc Education will be used solely for purposes related to enrolment, administration, communication, educational services, and Centre operations.
- 14.3Personal information will not be disclosed to third parties except where required by law, where consent has been provided, or where necessary for educational operations.
15. Acceptance of Terms
- 15.1By signing below, the Parent/Guardian acknowledges that they have read and understood these Enrolment Terms & Conditions, agree to comply with all policies and procedures of CamLoc Education, and accept financial responsibility for all fees associated with the Student’s enrolment.
