From parents and guardians

• Name, email address and phone number.
• Preferred contact method and WeChat ID where provided.
• Billing address for KooBits and other product orders.
• Payment records. Payments are processed by our payment provider; CamLoc does not collect or store card details on this website.

About students

• Student name, year level and current school.
• Program of interest, learning goals and information you choose to share about your child's learning needs.
• Enrolment, class placement, attendance and timetabling information.
• Academic progress information generated through our programs, such as assessment results, homework completion and teacher feedback.
• Login and usage information for learning platforms we provide access to, including the CamLoc portal, KooBits, Mathspace, ReadTheory and ReadWorks.

From job applicants

• Name, contact details, CV, teaching experience and subject areas.
• Working With Children Check and NESA accreditation details where applicable.

Collected automatically

Standard technical data may include IP address, browser type, pages visited and referral source, collected through cookies and similar technologies.

We request that you do not submit sensitive information, such as health or medical information, unless it is genuinely necessary for CamLoc to support your child safely and you choose to provide it.

• Directly from you through forms, email, phone or WeChat.
• From students and families while delivering lessons and programs.
• From learning platforms we administer for your child.
• Automatically through our website as described below.

3. Why we collect and use information

• Respond to enquiries and discuss suitable class placement.
• Enrol students and manage classes, timetables and attendance.
• Deliver tutoring programs and monitor and report on progress.
• Set up and administer requested learning-platform access.
• Process orders and payments.
• Communicate about learning, timetable changes, term dates and enrolment.
• Assess job applications and meet child-safety and accreditation obligations.
• Improve our website, programs and services and comply with legal obligations.

With your consent, CamLoc may also send information about upcoming terms, programs or services. You can opt out at any time by contacting us or using an unsubscribe option where provided.

4. Children's information

Most student information we hold relates to children. We collect it from a parent or guardian, or from the student during lessons, and use it only for the educational purposes described above. We do not use children's information for marketing and we do not sell personal information.

5. Photographs and student work

CamLoc does not photograph students or publish student work, names or results for promotional purposes without first obtaining consent from a parent or guardian.

6. Who we share information with

We do not sell or rent personal information. We share information only with:

• Learning platform providers to create and administer requested student accounts, currently KooBits and, where used, Mathspace, ReadTheory and ReadWorks.
• Payment services. Zeller processes invoices and payment links and handles card details under its own privacy policy.
• Service providers that support website hosting, email and centre operations.
• Government and regulatory bodies where required by law, including child-safety checks.

Each provider receives only the information needed for its role.

7. Overseas disclosure

• KooBits is based in Singapore. When KooBits access is ordered, the student's name and year level are provided to create the account.
• WeChat messages are handled by WeChat/Tencent and may be stored overseas, including in Singapore and China.
• Website and email providers may store data in other countries, including the United States.

Where information is disclosed overseas, CamLoc takes reasonable steps to ensure that it is handled consistently with the Australian Privacy Principles.

8. Cookies and website analytics

Our website uses cookies and similar technologies needed to operate and secure the site. If analytics tools are enabled, CamLoc may use aggregate usage information to understand and improve the website. This information is not used by CamLoc to personally identify you. You can disable cookies in your browser settings.

9. Storage, security and retention

CamLoc takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Measures include HTTPS encryption, access controls and limiting access to staff who need the information.

We keep personal information only as long as needed for the purposes above or as required by law. When information is no longer needed, we take reasonable steps to delete or de-identify it.

If a data breach is likely to result in serious harm, CamLoc will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

10. Access, correction and deletion

You may request access to personal information we hold about you or your child, ask us to correct it, or ask us to delete information we no longer need. We aim to respond within a reasonable time, generally within 30 days, and do not charge for making a request.

11. Complaints

If you believe CamLoc has mishandled personal information, please contact us first. We take complaints seriously and will investigate and respond within a reasonable time.

12. Changes to this policy

We may update this policy from time to time. The current version will be published on this page with its last updated date. Significant changes will be communicated to enrolled families by email.
